Site Visits
Choosing a Venue
The question isn’t “is it beautiful.” It’s whether the venue’s catering and vendor policies actually work for a multi-day, multi-cuisine celebration.
Many venues have exclusive in-house catering; others allow approved outside South Asian caterers for a fee. Confirm before you fall in love with a space.
Chaat counters and tandoors need fire-code clearance and kitchen access, separate from a general outside-catering approval.
Baraat & Procession Space

Confirm room for a processional entrance with music and dancing, plus noise ordinances and end times.
A ballroom rated for 300 seated guests may hold far fewer with a Sangeet stage and dance floor added.
An outdoor space plus an indoor ballroom lets you run a Haldi and a Reception at one property.
Outdoor ceremonies need a covered backup for Arizona's summer monsoon season, and get uncomfortably hot outside October through April.
The Real Numbers
Budget Reality
Total costs for 200–300 guests typically run $100,000–$250,000; luxury 300–500+ guest celebrations often land between $250,000–$400,000+.
Feeding 250 guests across a Sangeet, ceremony and Reception is closer to 750 guest-meals. Budget per event, not per guest count.
A Haldi's casual florals and a Reception's formal tablescapes are different budgets, vendors and rental minimums.
Many couples change outfits 4–6 times across the week. Factor this in before you're deep into deposits elsewhere.

How the Ceremonies Fit Together
Not every couple does every ceremony, and sequencing is more flexible than tradition sometimes suggests. A typical modern week runs:
Haldi + Mehndi Combined
Sometimes merged into one day for smaller weddings or tighter timelines: both are daytime, casual-energy events.
Sangeet the Night Before
The most common structure for 3-day weekends, so performers can rest before the wedding day itself.
Fusion Weddings
Blending two cultures often needs extra sequencing thought: same day or across two, and how to split hosting fairly.
Before You Book
Choosing Vendors
Beyond your venue and planner, catering, mehndi artists, entertainment and décor make or break the week. Ask every vendor:
"How many South Asian weddings this year?"
Multi-day, multi-cuisine events have a learning curve. Recent, relevant experience matters more than years in business.
"What if my guest count changes 3 weeks out?"
Counts shift more than average with extended family and international travel. Ask about change policies before you sign.
"Can I see a full timeline from a past event?"
Not just photos: an actual run-of-show shows whether they understand the pacing of a multi-ceremony day.
"Who is my contact on the actual day?"
The person who sells you the package isn’t always who shows up. Confirm who’s on-site for each event.
